If you use leave registration and employee login, your employees can request leave through their login. The leave approver can then approve or reject these requests. The leave approver can be configured according to your needs, such as the personal manager or department manager.
To manage and record employee leave, follow these steps:
Access Leave Dashlet:
Go to the ‘Leave’ dashlet in the specific employee’s profile. Leave types can be customized to your preference, with distinctions between four different leave groups.
View Leave Overview:
Here, you will see three tabs: ‘Overview’, ‘Starting Balance’, and ‘Statutory Leave’. The overview will show requested statutory, non-statutory, and compensatory hours along with their statuses.
Enter Leave Hours:
Fill in Leave Details:
Enter the start and end dates for the leave. The system will automatically calculate the number of leave hours to be taken, considering the employee’s schedule. It is important that schedules are accurate, especially for part-time employees. Ensure that schedules are updated correctly if there are changes in the working days of part-time employees.
Consider Public Holidays:
The leave module accounts for national holidays. If a public holiday falls within the leave period, no leave will be deducted for that day.
Record Leave Accrual:
You can also enter leave accrual under the ‘Vacation Hours Accrual’ tab. Follow the same process as for recording leave hours.
Approve Leave:
When you set the status to ‘Approved’, the leave entry will appear in the overview and will be processed in the next payroll if employees do not have access to their leave balances through their accounts. This applies to all leave groups. To enter leave hours, click the plus sign next to the type of leave you want to record, such as Statutory Leave. Click on ‘more’ in the leave section to access the following screen:
Note: A quarter of an hour is recorded as 0.25, and three-quarters of an hour is recorded as 0.75.
By managing leave in this way, you ensure accurate tracking and processing of leave requests and balances.
